Xerendipity Corporation Ltd. · Version 1.0.1 · ratified on 16 October 2026 · Last updated: 16 October 2026 (published)
1. About this notice
This notice explains how Xerendipity Corporation Ltd. uses the personal information you give us when you book a telephone call or a video call through the booking page of www.thexerendipity.com or of domesticstaff.thexerendipity.com, and the rights you have over it. It applies whether you are a family or a principal enquiring about our services, or a household professional booking a call about a position.
It is written under the UK General Data Protection Regulation and the Data Protection Act 2018 and, for people in the European Union, under Regulation (EU) 2016/679 (the GDPR). The rest of our websites is covered by each site’s general privacy policy.
2. Who we are
Xerendipity Corporation Ltd. is the controller of your personal information.
- Registered in England and Wales, company number 11778304.
- Registered office: 71-75 Shelton Street, Covent Garden, London WC2H 9JQ, United Kingdom.
- ICO registration number: registration in progress. Once issued, the certificate is attached to this notice as Annex A.
- For anything concerning your personal information, write to info@thexerendipity.com.
- Our representative in the European Union under Article 27 of the GDPR is Francesco De Biase, Via Monte Bianco 13, 21020 Taino (VA), Italy, who can be reached at info@thexerendipity.com.
3. What we collect when you book a call
From the booking form:
- your name and surname;
- your e-mail address and telephone number;
- the city you are in;
- what you would like to discuss, if you choose to tell us.
From your choice in the calendar: the service, the date and time, and the mode of the call (telephone or video).
Automatically, for security: the IP address from which the booking was made and the technical signals that Google reCAPTCHA uses to tell people from automated programs.
Then, as the booking proceeds: its status (received, confirmed, cancelled) and the e-mails we exchange with you about it.
One request. Please do not write in the free-text field anything about health or other sensitive matters — not even when the role concerns the care of a member of your family. A general description is enough; the details can wait for the call.
The fields of the form are needed to arrange the call: without them we cannot book it. The free-text field is the only optional one.
4. Why we use it, and on what basis
| Purpose | Lawful basis |
|---|---|
| To arrange and hold the call you asked for, and to send you the e-mails about it (received, confirmed, cancelled) | Steps taken at your request before entering into a contract (Article 6(1)(b)) |
| To follow up the call: a proposal for the service you asked about, or — for a household professional — the selection process for the position, with your details entered in our client or candidate records | Steps taken at your request before entering into a contract (Article 6(1)(b)), and our legitimate interest in answering an enquiry you made (Article 6(1)(f)) |
| To keep the booking form free from spam, abuse and fraudulent bookings, through Google reCAPTCHA | Our legitimate interest in protecting the form and our team (Article 6(1)(f)) |
| To meet our legal obligations and, if ever needed, to establish or defend a legal claim | Legal obligation (Article 6(1)(c)) and legitimate interest (Article 6(1)(f)) |
We do not sell your information, we do not use it for advertising, and no decision about you is taken solely by automated means. Calls are not recorded.
5. Who sees it
Within Xerendipity Corporation Ltd.: only the member of our team who will hold your call, and the colleague who may replace them.
Your information is also processed on our behalf, and only on our instructions, by the providers we rely on:
- our website and e-mail host, which keeps the booking and sends the e-mails;
- Google, for reCAPTCHA on the booking form;
- Zoom, for video calls only, when you join the meeting.
On our websites, and therefore on the booking page too, other services work only if you accept them in the cookie banner: Google Analytics and Google Ads, Microsoft Clarity, HubSpot — which may also record what you enter in the forms of our websites — LinkedIn and YouTube. Our Cookie Policy describes them.
We do not pass your booking details to any client, employer or other third party for their own purposes. We disclose them to public authorities only where the law requires it.
6. Where it is held
On our websites, hosted in the United States; in our internal records, in the United Kingdom and in Italy, where our Milan team works; with the providers listed above, who may process it in the United States.
Every transfer outside the United Kingdom or the European Economic Area is protected by the safeguards the law requires: an adequacy decision or regulation (including, where the provider is certified, the EU-US Data Privacy Framework and its UK Extension), or standard contractual clauses with the UK Addendum. You may ask us for a copy of the safeguards that apply.
7. How long we keep it
- On the websites: the booking details are removed six months after the date of the call.
- In our internal records: for the whole of any relationship that follows; if none follows, 24 months from the last communication, after which they are deleted.
- Where the law requires us to keep something for longer (for example invoices), we keep only that, for the period the law sets.
8. Your rights
You may ask us:
- for a copy of your personal information;
- to correct it, or to delete it;
- to restrict its use;
- to receive it in a portable format.
You may also object at any time to our use of it on the basis of legitimate interest.
Write to the address in section 2. We reply within one month, free of charge; we may ask you to confirm your identity first.
If you are not satisfied, you have the right to complain to a supervisory authority:
- in the United Kingdom, the Information Commissioner’s Office — ico.org.uk, telephone 0303 123 1113 (+44 303 123 1113 from abroad), Wycliffe House, Water Lane, Wilmslow, Cheshire SK9 5AF;
- in Italy, the Garante per la protezione dei dati personali — garanteprivacy.it, Piazza Venezia 11, 00187 Rome;
- elsewhere in the European Union, the authority of the country where you live or work.
We would be grateful for the chance to resolve the matter with you first.
9. How we protect it
The booking page travels over an encrypted connection. Access to the bookings is limited to the two members of our team who hold the calls. The link to a Zoom video call is sent to you by e-mail, for the call you booked only.
10. Cookies on the booking page
The booking form uses the cookies that Google reCAPTCHA needs to protect it: they are strictly necessary for the form to work. The other cookies of our websites (statistics and marketing) are placed only if you accept them in the cookie banner, and you can change your choice at any time from «Manage cookies». They are described in our Cookie Policy, linked from the banner and at the foot of every page.
11. Children
Bookings are for adults only. We do not knowingly accept bookings from anyone under 18.
12. Changes to this notice
